JOB TITLE: Event Coordinator

TOP 3 SKILLS
1. A graduate of an event management program in college with 6 months of experience coordinating events.
2. Experience managing the registration of attendees in Microsoft Office suite.
3. Experience with Microsoft Office and Adobe Acrobat.

MANAGER COMMENTS
- Candidates that are very experienced are NOT a fit. The manager is looking for someone fairly entry level.
- A candidate with their CMP (Certified Meeting Planner) is going to be far too experienced and is therefore not a fit.
- The candidate must have excellent organisational skills, have a professional polish and have excellent communication (both written and oral).
- Candidate must be able to work with a variety of personalities.
- The role is 12 months to start with the potential for extension. The bank doesn’t have a full time role available for the candidate to move into right now.
- Candidate will be supporting event managers and organising large corporate conferences as well as dinners.

Mandate
This role is accountable for providing day-to-day operational and coordination support for both internal and external events across all Lines of Business for the bank. These events are highly visible and involve clients as well as senior-level executives. The role involves preparation of registration material, registration management, onsite execution, sourcing internal and external vendors/suppliers, and venue research. Must represent the organization with professionalism, courtesy and integrity

Knowledge and Skills
Knowledge:
- Demonstrate work experience in event management, including project management expertise
- University degree
- Event Planning College Certificate considered an asset
- Fundamental understanding of banking as well as knowledge of products and services

Skills:
- Professional polish and ability to interact with senior executives and clients.
- Team player, motivated and committed, self-starter and quick learner, confident, assertive.
- Flexibility and ability to work in ambiguity and under pressure, as well as handle multiple projects simultaneously and resolve conflicts on site
- Strong communicator
- Excellent organizational skills and attention to detail
- Solid written communication skills
- Strong proficiency in Excel, PowerPoint, Word & Adobe Acrobat
Key Accountabilities
Administration and Registration Support (40%)
- Provide administrative and shared service support roles around online registration management, tracking, office administration and onsite event support staff
- Look to streamline administration processes providing efficiencies to the EBM team
- Assist in creating synergies between Canada and the U.S. EBM team
- Ensure event supplies, signage and branding requirements are maintained and stocked.

Business Delivery and Operational Effectiveness (40%)
- Delivery of consistently great client experiences
- Execution for internal & external conferences and events in support of cross-border groups.
- Develop and manage event calendars
- Provide event tracking to assess proper event logistics & details
- Order promotional merchandise used at events.

Client and Relationship Management (10%)
- Serve a team which plans and executes over 500 events during the year.
- Interact with executives and clients as they participate in BMO events and conferences
- Interact with colleagues and BMO FG employees through meetings, events and conferences
- Represent BMO with professionalism, courtesy and integrity

Risk Management and Control (10%)
- Responsibility for ensuring standards are applied to all conferences and events
- Responsibility for quality control of conferences and events
